Schedule recurring clones

The Scheduler lets you automatically repeat a Clone Expert cloning process on a defined schedule. Configure the clone the same way as a regular cloning operation, including field changes, placeholders, functions, advanced options, and other supported customizations. Instead of creating the clone immediately, you save the configuration together with a schedule.

Clone Expert then uses this configuration for scheduled cloning runs. This is useful for processes that need to be recreated regularly, such as monthly compliance activities, recurring operational tasks, periodic reviews, reporting processes, or recurring project templates.

Create a scheduler

1. Open the cloning view

Open Clone Expert for the work item or group of work items you want to clone. Configure the cloning process as you would for a regular clone, like selecting destination space and other customization options described in the documentation:

The configuration prepared in the cloning view will be used during scheduled cloning runs.

Changes made in the Preview Table affect the created clones only. They do not modify the original work items.

2. Click Schedule

When the cloning configuration is ready, click Schedule instead of Clone.

3. Configure the cloning schedule

Define when the cloning cycle should start, how often it should run, and when it should end.

Field Description
Label Name used to identify the scheduler in the Schedulers view. Use a descriptive name that makes the scheduled process easy to recognize.
Start date Defines the date from which the cloning cycle starts.
At Defines the start time and timezone.
End date – Never ends The scheduler continues running according to the configured recurrence until it is stopped or deleted.
End date – On Ends the cloning cycle on the selected date.
End date – After Ends the cloning cycle after the specified number of occurrences. For example, After 5 occurrences means that the scheduled cloning process can run five times.
Run every Defines how often the cloning process should run. Available intervals are Minutes, Hours, Days, Weeks, and Months. Additional configuration options are displayed depending on the selected interval.
Repeat on Available when Weeks is selected. Defines the weekday or weekdays on which the cloning process should run.
On Available when Months is selected. Defines when during the month the cloning process should run. You can select a specific day of the month or configure rules such as the first or last day of the month, or the first, second, third, fourth, or last occurrence of a selected weekday.
At For schedules based on days, weeks, or months, defines the execution time and timezone for recurring runs.

4. Check upcoming runs

Before saving the scheduler, check the Next run section.

Clone Expert displays the upcoming runs based on the current scheduler configuration. This allows you to verify that the cloning cycle will run on the expected dates and times.

If the following message is displayed:

This scheduler has no upcoming runs.

check whether the start date, recurrence, execution time, timezone, and end condition are configured correctly.

5. Save the scheduler

Click Schedule when creating a new scheduler or Update when editing an existing one.

The scheduled cloning process is now available in the Schedulers view. To access it, select Clone Expert from Apps in the Jira left-hand menu, then open the Schedulers tab.

Important

If you are currently in the Clone Expert cloning window, open Clone Expert using Open in new tab or Open in new window. This is required to ensure that the Schedulers view is displayed correctly.

Manage schedulers

Open Clone Expert and go to the Schedulers tab to view and manage scheduled cloning processes.

Column Description
Label Name assigned to the scheduler.
Clone Shows the source work item and destination space used by the scheduled cloning process.
Frequency Shows how often the scheduler is configured to run.
Status

Shows the current state of the scheduler:

  • Active – The scheduler is active and will run according to the configured schedule.

  • Disabled – The scheduler is inactive and will not create new clones until it is started again. A Disabled scheduler can be activated by clicking Start button.

  • Completed – The scheduler has reached its configured end condition and has no further scheduled runs.
Last run

Date and time of the most recent scheduled execution.
Next run

Date and time of the next planned execution.
Start

Allows a disabled scheduler to be activated again when this action is available.
Edit

Opens the scheduler configuration and allows you to modify its settings.
Delete Deletes the scheduler configuration.

Use Refresh to reload the scheduler list and display the latest execution information.

Edit a scheduler

Click Edit next to a scheduler to open its configuration.

You can modify its scheduling settings and review the upcoming runs before saving the changes.

After making the changes, click Update.

If you extend a Completed scheduler, its status changes to Disabled after saving. Click Start to activate it again.

Delete a scheduler

Click Delete to remove a scheduler.

Deleting the scheduler removes the scheduled configuration. Work items created during previous cloning runs are not affected.
